Time to Party

Season is here and with it comes a full social calendar. As people return from up north, it’s a time to reconnect and share stories from the summer. Throwing the perfect party, whether it’s for a holiday or just because life is worth celebrating, can be stress-free for you as the host with the perfect plan in place. We’ve created a timeline that will work for every gathering.

6 to 8 Weeks Out

Choose your date, time and venue.

Develop your guest list and decide on the total number. 

If you plan on having entertainment, now is the time to book them.

Set the theme for the party. 

Pick your invitations. If mailing them out, you will need to place the order much sooner while digital options can be selected later. 

Because season can be so busy, talk to your caterer, if you are using one. Booking them as soon as you have your date and venue will help ensure you get the service and food you want. 

3 to 4 Weeks Out

Prepare invitations and mail, email, or hand-deliver them.

Keep yourself organized by putting your guest list either in an easy to reach spot or a well-labeled digital folder so you can easily record RSVPs. Most digital invites will keep your guest list tally, making it a really great option these days. 

Shop for party supplies! You already have your theme, so this should be a fun activity.

Line up additional help or a party co-host. If you are inviting children to your party this would also be a good time to make sure there will be enough hands on deck to help watch them.

2 to 3 Weeks Out

If not using a caterer, plan your own menu for the party. 

Try out any recipes you’re unfamiliar with so you aren’t lost the day of. 

If you are hosting a party with games, this is also an ideal time to make sure you have all the pieces. If you are missing items, you will have time to get them ordered or find a store that carries replacements. 

1 Week Ahead

Check-in with people who haven’t RSVPed yet. Your caterer will need a final head count. 

Set a party agenda. What time will the entertainment start, when will the food be served, where should people be and when? 

Finalize a seating chart.

2 to 3 Days Ahead

Purchase groceries or any pre-prepared food you plan to serve if not using a caterer. 

Bake any cookies or treats that can be made ahead.

Begin cleaning or, if you use a cleaning service, let them know you would like them to do a deep cleaning during this time. 

Double-check your supplies—you don’t want to have to run out the morning of the party for more plates or forgotten cutlery. 

The Day Before

Set out your supplies. 

Confirm the arrival times for your caterer and entertainment. If ordering food from a delivery service, call to arrange a delivery time.

If necessary, confirm with the entertainer and/or any helpers who you've asked to attend.

4 to 5 Hours Before

Set the table and decorate your party space.

Show the caterers where to set up and double-check the menu items they’ve brought with them. 

If you need to rearrange furniture, do so now so you aren’t rushed when the entertainment or first guests arrive. 

1 to 2 Hours Before

Get yourself ready! 

Consider putting your pets in an area away from guests.

If using help or childcare, have them arrive before the party so you are able to focus on getting ready and the children are adjusted before your guests arrive. 

Show your co-host/help around the party space and discuss what you would like them to help you with.
